Invoices

Once the attendance for a contract has been saved, you can generate an invoice for the respective contract except for “Standard Cost” and “Cost Plus Wages Based” contracts which can be generated only after the approval of payslips.

Generating Invoices

To generate an Invoice, for a specific contract, please follow the steps below

  1. In the CRM container, in contracts folder, select the contract for which you want to generate invoice for.

  2. A contracts edit window will pop up on the screen.

  3. In the menu bar on the window, select “Go To”.

  4. Click on “Generate invoice”

  5. Fill in all the details. Please note that fields with “*” are mandatory Fields.

  6. Click on generate.

Mandatory Fields for generating Invoices

  • Invoice period: The time range for which you wish to generate the invoice for.

  • Contract ID: The contract id, you wish to generate invoice for. Ideally, it would be pre-filled.

Adding Documents with Invoice

Principal Employers may have added a list of documents that are to be submitted with the Invoice. To upload these documents, follow the steps below

  1. In CRM container, go to Invoice folder

  2. List of all the generated invoices will appear on the screen.

  3. Click on the respective invoice you wish to add documents for

  4. Select “Actions” and click on “Upload Documents”.

  5. List of all the documents would appear on the screen, with the available documents automatically uploaded

  6. Click on the attachement icon in front of the document you wish to add

  7. A media folder will open up with list of added documents. If you have added the document to media folder then please select the respective document else add the document using the “New Media” in “Actions”

  8. Once selected, click on “upload” in front of the document’s name to upload the document.

Please note that the status of uploaded documents is visible for every invoice on Invoices page, along with the approved and rejected status.

Submitting an Invoice

For the Invoice to be shared with the principal employer, the contractor must submit the invoice. To do so, please follow the below mentioned steps

  1. In CRM container, go to Invoice folder

  2. List of all the generated invoices will appear on the screen.

  3. Click on the respective invoice you wish to submit

  4. Select “Actions” and click on “Submit Invoice”.

Approving the Documents for submitted Invoice

For a contractor to generate Invoice, the previously submitted documents have to be approved by principal employer. To approve the documents uploaded with Invoice, please follow the below mentioned steps

  1. In the Principal Employer’s account, go to “Shared Folders” container

  2. Select the container of the contractor for whom you wish to approve the documents for. The contractor’s folders shared with you will appear on your screen

  3. Select “Invoice” folder

  4. List of all the submitted invoices will appear on your screen.

  5. Click on the respective invoice you wish to approve documents for

  6. Select “Actions” and click on “Verify Documents”

  7. List of all the submitted documents will appear on your screen. You can check the document by clicking on the document in current attachement section, and approve or reject the document using the options in front of the document’s name

Downloading an Invoice

To print a generated invoice, please follow the steps below

  1. In CRM container, go to Invoice folder

  2. List of all the generated invoices will appear on the screen.

  3. Click on the respective invoice you wish to print

  4. A print preview will be display, how the invoice would look.

  5. Select “Download”

Please note that you can also email the invoice directly by clicking on “email”

  1. Fill in the fields and write down the message.

  2. Click on Send.

If you wish to remove the zeroed values and add a summary report, you may use the filters. To use the filter please follow the steps below

  1. Select “Actions” and click on “Filters”

  2. Turn “Summary reports” and “Ignore Zero Quantity items” buttons on

You may also filter your invoice on the basis of business billing location, customer billing location, city, location id and service by using the respective fields.

Please note that the QR code on top of the invoice can be scanned using any smart phone to know the status of the Invoice.
